Latchmere Teaching School Alliance Privacy Notice
Introduction
Latchmere Teaching School Alliance takes the security of the data and information we hold very seriously. You have a legal right to be informed about how LTSA uses any personal information that we hold on you. To comply with this, we have provided a ‘privacy notice’. We, LTSA, are the ‘data controller’ for the purposes of the Data Protection Law. Our Data Protection Officer is SATSWANA. Until the 24th May 2018, we shall process your personal data in accordance with the Data Protection Act 1998. From 25th May 2018, we shall process your data in accordance with the GDPR. We only collect and use your personal data as permitted by law. Mostly, we process it where we need to comply with a legal obligation or we need to perform an official task in the public interest. Sometimes, we may also process your personal data in situations where we need to protect an individual’s interests.
The personal data we hold:
Personal data that we collect, use, store and share (when appropriate) about you may include, but is not restricted to:
- personal information (such as name, employee or teacher number, national insurance number, email address – mainly for CPD correspondence)
- characteristics information (such as gender, age, ethnic group)
- contract information (such as start date, hours worked, post, roles and salary information in relation to the school direct salaried programme)
- work absence information (such as number of absences and reasons in relation to the school direct salaried programme and NQT induction programme)
- qualifications (and, where relevant, subjects taught)
- Relevant medical records (such as the ‘Fitness to Teach and Disability Disclosure’ in relation to the school direct salaried programme)
- Referee statements (in relation to the school direct salaried programme)
- Exam/assessment data such as academic results (GCSE/A-level and degree awards)
We may also hold data that we have received from other organisations, including other educational providers, UCAS, the DfE and the TRA (Teacher Regulation Agency).
Why we use this data
We use this data to help run the LTSA to:
- Keep you informed about the course you have signed up for
- Keep you informed about future courses
- Check eligibility for entry onto courses
- Be able to run and coordinate courses
- Be able to carry out school to school support
- Effectively lead ITT
- Carry out research
- Comply with the law regarding data sharing
How we store data
We keep personal information about you for five years after the completion of the course or service, particularly in the case of NQT Induction. An ‘Appropriate Body’ policy exists which gives further details around the storage of this data. Information is stored in a data base where only nominated senior leaders have access.
Data Sharing
Where it is legally required or necessary we may share personal information with:
- The local authority
- The DfE
- An appropriate body for NQT registration
- An examining body such as Kingston University
- An organisation who is collecting census information such as Kingston University
- A regulator such as Ofsted
- Suppliers and service providers such as those who provide paediatric first aid or safeguarding training
- Professional advisors and consultants
Requesting access to your personal data
Under data protection legislation, you have the right to request access to information about you that we hold. To make a request for your personal information, please go through the website and make a ‘subject access request’. In this instance we will give you a description of the information we hold; explain why we are holding it and how long we will keep it for; explain where we got it from and tell you who it has been shared with.
You also have the right to:
- object to processing of personal data that is likely to cause, or is causing, damage or distress
- prevent processing for the purpose of direct marketing
- object to decisions being taken by automated means
- in certain circumstances, have inaccurate personal data rectified, blocked, erased or destroyed; and
- a right to seek redress, either through the ICO, or through the courts
